This policy explains how AIStudio.London collects and uses personal data when you visit this website or get in touch with us, and the rights you have under UK data protection law.
Who we are
AIStudio.London is a trading name of AISTUDIO.LONDON LIMITED, a company registered in England and Wales (company number 17147719), with its registered office at 167-169 Great Portland Street, 5th Floor, London, W1W 5PF. We are the data controller for the personal data described in this policy. We are registered with the Information Commissioner's Office (ICO), registration number C1905339.
The information we collect
- Information you give us. If you submit your email address to request our AI Readiness Assessment, or otherwise contact us, we collect that email address and anything you choose to tell us.
- Technical information. Our hosting provider records standard server and security logs (such as IP address, browser type, and pages requested) needed to deliver and protect the site.
- Notification details. If you opt in to receive messages from one of our services over WhatsApp or SMS (for example Harambol, our fantasy football league), we collect your name, your mobile number, and your notification preferences.
How we use it, and our lawful basis
- To send you the AI Readiness Assessment you requested, and to follow up about how we might help. Lawful basis: your consent, and our legitimate interest in responding to enquiries.
- To run and secure the website. Lawful basis: our legitimate interest in keeping the site available and protected.
We do not use your information for automated decision-making, and we do not sell it.
Cookies
We use a single essential cookie to remember your cookie choice, and analytics cookies only if you consent. Full detail is in our Cookie Policy.
WhatsApp and SMS notifications
Some of our services send notifications over WhatsApp or SMS to people who have asked for them. We process your name, mobile number and notification preferences for this purpose. Lawful basis: your consent, which you can withdraw at any time.
- Opting out. Reply STOP to any of our messages, or email hello@aistudio.london, and we will stop sending them.
- Deleting your data. To have your number and any linked details removed, email hello@aistudio.london (or message the request to the number that contacted you). We will delete the data and confirm once done.
- Delivery provider. WhatsApp messages are delivered through the WhatsApp Business Platform, operated by Meta, which processes message and delivery data under its own terms. SMS messages are delivered through our telephony provider.
- Service logs. Messages you send to our WhatsApp numbers, and our replies, are logged so we can operate, troubleshoot and improve the service. Message content is kept for up to 90 days; anonymous usage counts are kept longer.
Who we share it with
We share personal data only with service providers who process it on our behalf under contract, including:
- our cloud hosting and email infrastructure provider (Amazon Web Services), used to host the site and deliver enquiry emails;
- our business email provider, used to receive and respond to your enquiry;
- our product-analytics provider (PostHog), hosted in the European Union, used only with your consent to understand in aggregate how the site is used;
- our messaging providers (Meta's WhatsApp Business Platform, and Twilio for SMS), used to deliver notifications you have opted in to receive.
We do not pass your information to anyone else except where required by law.
International transfers
We aim to keep personal data within the UK or European Economic Area. Where a provider processes data outside those areas, we rely on appropriate safeguards such as the UK International Data Transfer Agreement or equivalent.
How long we keep it
We keep enquiry information for as long as needed to deal with your request and, where relevant, our ongoing relationship, and then for a reasonable period in line with our legal and accounting obligations. Server logs are kept only for a short period.
Your rights
Under UK GDPR you have the right to access your personal data, to have it corrected or erased, to restrict or object to its processing, to data portability, and to withdraw consent at any time. To exercise any of these, email us at hello@aistudio.london.
If you are unhappy with how we have handled your data, you can complain to the ICO at ico.org.uk, although we would welcome the chance to put things right first.
Security
We use appropriate technical and organisational measures to protect personal data, including encryption in transit and access controls. No method of transmission over the internet is completely secure, but we take reasonable steps to safeguard your information.
Changes to this policy
We may update this policy from time to time. The date at the top shows when it was last revised.
